Position Summary:
We are looking for a Division Administrator to join our Saskatchewan team on a full-time basis. The role of the Division Administrator will be to ensure all sites’ staffing needs are met in the timely and cost-effective manner by attracting and hiring best talent in the industry.

Responsibilities:
The Division Administrator is a key member of the Saskatchewan office team and is expected to provide a variety of complex administrative tasks and responsibilities using strong communication, administrative and organizational skills, while maintaining confidentiality.

Specific objectives are:

  • Liaising with all other departments and divisions as required
  • Equipment administration, maintaining equipment work orders
  • Liaise with Procon Travel and in coordinating site travel for all personnel, including visitors
  • Provide weekly timesheets to Supervisors and ensure completed timesheets are entered daily in the ERP System
  • Assist with payroll process by providing, rate changes, adjustments and terminations as required
  • Administering all renewal notices
  • Compiling and submission of expense reports on an accurate and timely basis
  • Time Administration in the ERP System
  • Maintaining the document control system
  • Final format check on all submissions to clients.
  • Issue and track company Gas cards
  • Coordination of reporting from all departments in the division.
  • Coordination of service providers that pertain to the day to day operation of the division
  • Coordination of incoming and outgoing mail.
  • Work with Corporate HR in the coordination of onboarding of new employees

Qualifications/Requirements:

  • Strong computer skills, with proficiency in Microsoft Office Suite (Word/Excel/Outlook)
  • Previous ERP system experience would be considered an asset
  • Previous experience in mining or construction field considered an asset
  • A self-starter with the ability to multi-task and work well in a team environment
  • Excellent organizational and verbal and written communication skills are essential
  • Strong analytical and problem-solving skills combined with an attention to detail.
  • Ability to show discretion with confidential and/or personal material
  • Ability to work well under pressure and meet deadlines
  • Ability to multitask and prioritize workload, handling various job responsibilities at once
  • Ability to work independently as well as a member of a team
  • Professional interaction with all levels of staff within the organization from front line to senior executive
  • Ability to work effectively in both an office environment and a work from home environment
  • For this position, you will be required to undergo a background check.
