Job Summary

Reporting to the Manager, Procurement Services – External Services, the successful candidate will provide support to the Buyers and Procurement team.

Duties and Responsibilities

Reporting to the Manager, Procurement Services, the successful candidate will:



  • Provide support to Buyers in preparing bid request documents and addenda by formatting, proofreading and publishing documents in the e-Procurement system in a timely manner
  • Provide customer service support to external companies and internal staff and respond to inquiries
  • Obtain and ensure bidder submittals of insurance and bonds are accurate and in accordance with contract requirements
  • Administer vendor name change process in accordance with the procedure
  • Manage procurement records and retention of files
  • Maintain and release bid sureties
  • Manage general procurement telephone line and email by responding to inquiries in a timely manner
  • Arrange meetings and logistics / facility bookings on behalf of the Team
  • Provide general support – order office supplies, process invoices, update databases
  • Perform other duties as assigned

Skills and Qualifications

  • Post-secondary degree, diploma or certificate in administrative studies or related field with a minimum of 3 years relevant experience, or equivalent combination of education and experience
  • Experience working in a public procurement environment will be highly preferred
  • Advanced Word and Excel skills and proficient skills in Outlook and PowerPoint
  • Knowledge of SAP, bids and tenders and other database systems an asset
  • Excellent administrative, planning, organizational, interpersonal and time management skills
  • Excellent verbal and written communication skills
  • Excellent proofreading and editing skills
  • Demonstrated ability to work effectively both independently and in a team environment
  • Aptitude for figures along with high level of accuracy and attention to details essential
  • Able to multi-task in order to support a team of Buyers, well organized, able to meet deadlines and work co-operatively with others
