Due to growth they are seeking a Payroll Manager to join their growing yet established team at the Corporate Office in Acheson, AB.

Under general direction from the Director, Corporate Finance, the Manager, Payroll oversees the management of the payroll department and provides support for the administration of payroll processes and procedures. The Manager, Payroll is responsible for monitoring all tasks necessary to accomplish SMS Equipment’s payroll processing objectives. The majority of the employee’s time is spent planning, coordinating and managing the functions of the payroll department with an emphasis on continuously improving processes to increase efficiency, accuracy and support for employees.

JOB DUTIES

1. Manages the payroll processes for all salaried and wage employees in the Company-wide payroll system in accordance with existing policies, procedures, regulations and legislation.

  • Ensures that payroll documents in the UKG payroll system for all salary and wage employees are processed on time and accurately.
  • Administers and interprets diverse and complex payroll and benefit regulations, and collective agreements in all provinces and territories.
  • Remains current on all ongoing changes to payroll processing by reviewing updates to related manuals, production notices, etc. Reviews Canadian Payroll Association information, Canada Revenue Agency announcements, Provincial announcements, WCB regulations on an ongoing basis.,
  • Supports HR to ensure appropriate records including, employee records and files are maintained to support payroll.
  • Seeks opportunities to improve efficiency and effectiveness of payroll processes and the utilisation of departmental resources.
  • Completes audits of payroll and payroll practices
  • Updates Payroll policies, procedures and work instructions
  • Chairs weekly meeting with payroll department to review process issues, new information, etc.
  • Creates / manages development of spreadsheets to support government claims or charges
  • Acts as back up for Payroll Controller for functions related to Budgeting and Labour Costing
  • Primary contact for payroll audits by CRA, WCB and other regulatory audits
  • Primary contact for payroll for external and internal auditors i.e., KPMG and Sumitomo Corporation Internal Audit
  • Supports department variance reporting for accounting and branches

2. Communicates with employees and department contacts.

  • Replies verbally or by written correspondence to payroll enquiries.
  • Provides information to management and employees. Significant contact (internal and external) for problem resolution and conflict/complaint resolution.
  • In coordination with HR and new employee onboarding process, works to ensure new employees are provided required SMS Payroll information.
  • Receives escalated issues from payroll team for payroll enquiries
  • Collaborates with other departments for existing and new processes to streamline payroll requirements
  • Issues payroll information and announcements to company employees as required i.e. annual announcement of release of T4’s

3. Prepares for quarterly and year-end reporting.

  • Prepares and manages process for annual employee tax forms including T4s
  • Manages process for quarterly and annual Bonuses and Incentives
  • Manages the Payroll account reconciliation process
  • Manages Country and Provincial external regulatory reconciliations including WCB and CRA

4. Manages and leads Payroll Department

  • Plans staff resource level to meet payroll volume and full cycle payroll obligations. Provides development, training and direction to Payroll staff as required.
  • Encourages staff to take additional payroll classes through Canadian Payroll Association
  • Conducts formal annual performance review

5. Additional job duties

  • Supports investigations by Legal or Risk & Controls as required
  • Manages monthly process for equipment sales commission calculations
  • Manages process for Ex-Pat semi monthly pay for Transwest Mongolia LLC
  • Manages and supports SMS Alaska payroll
  • Manages information to be provided to external auditors and regulatory bodies in the United States for SMS Alaska i.e., 401K Plan audit
  • Other job duties as required

Position performs and manages payroll functions, processing payroll for employees that are governed by different plans, collective agreements and/or regulations. This position functions with independence in reviewing and processing all payroll documentation.

What you’ll need to succeed

  • Payroll responsibilities require extensive knowledge of UKG payroll system.
  • Full working knowledge of payroll regulations, legislation and collective agreements.
  • Master Level excel skills
  • Requires excellent oral and written communication skills to effectively deal with all clients and internal/external agencies in the resolution of problems.
  • Requires excellent analytical skills and an attention to detail.
  • Typically requires a Grade12 diploma, payroll and benefits related courses Canadian Payroll Association, Certified Payroll Manager designation), and several years’ experience in a unionized payroll environment.
  • Ability to speak French is an asset.
