Acting as a Human Resources/Administrative Generalist and a Management representative, the Office Manager is responsible for all human resources activities for the company and supervises the Administration teams.

The Office Manager maintains ongoing relationships by facilitating communication between all functional groups and participating actively on various joint committees.


? Related Degree or Human Resource Management Diploma or equivalent work experience Knowledge of provincial legislation and legal requirements, understanding of federal legislation as applicable

? Proficient in word processing, spreadsheets and report development and generation

? Excellent interpersonal, communication and presentation skills; able to connect with staff across all levels of the organization

? Strong negotiation skills, ability to listen and remain objective and impartial

? Ability to multitask and prioritize effectively and efficiently

? Must be a team player and have a lead by example philosophy

ROLES AND RESPONSIBILITIES:

Management

? Responsible for planning, organizing and controlling various office and staff related administration: ? Monitor and ensure that staff follow work instructions and are in compliance with customer requirements ? Responsible for evaluation of staff performance and continued improvement ? Monitor and evaluate administration team training

? Perform other related duties as required General Administration

? Responsible for various activities relating to logistics and office administration: ? Prepare confidential correspondence ? Process payroll

¦ Maintain employee records and ensure all hiring packages are complete with appropriate signatures and documentation ? Group benefits management and administration

¦ Communication with employees regarding changes to plan coverage

¦ Responsible for disability management including WCB, STD, LTD and Leave of Absence

¦ Review reports to ensure appropriate coverage and facilitate any necessary changes ? Perform specific research/investigation into operational issues, as required ? Study legislation and arbitration decisions to assess industry trends ? Perform other related duties as required Human Resources/Employee Relations ? Close involvement with employee relations at multiple facilities ensuring and maintaining a positive and productive workforce while adhering to employment legislation

? Serve as an intermediary between supervisors and employees to assist in resolving: ? employee concerns ? performance issues ? disciplinary problem: ensuring proper progressive discipline with appropriate documentation.

? Participate in employee meetings ? Provide coaching and consulting advice to management with respect to human resource law ? Conduct and consult on termination to ensure legal compliance and provide counseling to managers regarding interpretation and application of employment legislation

? Support the recruitment and selection process to achieve business objectives: ? Coordinate internal job postings, advertise, screen and shortlist vendors and suppliers ? Recruit, interview and perform reference checks in order to fill vacant positions either through internal or external postings

? Recommend, develop and schedule training and development courses ? Develop, direct and coordinate a variety of HR and employee relations related assignments and initiatives ? Perform other related duties as required WCB and Health & Safety ? Ensure proper reporting to WCB is completed in a timely and accurate manner ? Documentation of all on site incidents and/or accidents ? WCB claims submission and processing ? Monitor reoccurrence of injuries and maintain a timely return to work program

? Work with Operations on H&S initiatives ? Ensure all workers are instructed in safe work practices and that work carried out is performed in a safe manner ? Approve, support and enforce Health & Safety rules, policies and procedures ? Act on reported unsafe conduct and conditions, accident and/or injuries and inform employees of the existence of any potential or actual danger to their health & safety

? Membership and active participation in all appropriate associations ? Perform other related duties as required

Working Conditions

? Mix of office environment and dock floor exposure (dock is noisy and dirty due to forklifts) ? Potential for danger due to close proximity of several moving forklifts in crowded areas, congestion of freight
