In order to support its strong growth, we are currently looking for a lease administrator for our commercial division.


POSITION DESCRIPTION:

Reporting to the Controller, you will be called upon to work in a dynamic team of several friendly accountants and technicians. Through a variety of rewarding tasks and responsibilities, your contribution to the success of daily operations is undeniable. Among your main functions, the lease administrator will be responsible for keeping the Hopem database up to date with its portfolio of commercial leases, for proper invoicing in accordance with the various clauses, will establish and maintain direct contact with tenants and then assist with the preparation of forecast data as part of the annual budget process. You will be responsible for the reliability and accuracy of all financial data for each of the leases.


ROLE AND GENERAL RESPONSIBILITIES:

  • Always treat with the same quality of interpretation and rendering the multiple requests from our tenants and lessors regarding lease obligations
  • Coordinate and calculate the update of provisional amounts for CAMs and taxes then notify tenants of new rates in a timely manner
  • Create the procedures relating to the lease administrator position and write them
  • Develop and implement optimal processes for lease management
  • Ensure timely processing of commissions, supervision fees, rental inducements, free rents, percentage rents, rent levels
  • Enter the data of the commercial leases in the Hopem database and / or validate the already existing data then summarize the main clauses (financial obligations and critical dates)
  • Interact regularly with the controller and accountants for the exchange and updating of information relating to leases as well as the preparation of the budget and forecasts
  • Master the lease management software (Hopem) and evolve it according to needs
  • Obtain the necessary information for the processing of more complex leases and other ancillary agreements from the internal legal department and the rental department
  • Participate in various special projects.
  • Proceed to annual billing of adjustments for property taxes and operating costs for all properties
  • Responds to numerous questions from internal and external clients then assists construction, accounting, operations, rental and property management services
  • Update of lease information in collaboration with the rental and legal departments
