As the Intake Coordinator you will be to be the first point of contact for all Calgary Police Service Access to Information (ATI) requests and inquiries. The Access & Privacy Section is a high volume fast paced environment that must adhere to legislated timeframes. Specific duties include:
  • Receive, confirm, and clarify ATI requests to ensure that they have been received by the correct Public Body and that they can be actioned by the CPS.
  • Conduct initial searches in police databases and JOIN (provincial court tracking system) to aid the Disclosure Analysts as well as determine the access rights of the applicant and note results to the ATI file.
  • Respond to inquiries from the public via telephone, email or in-person.
  • Process payments over the telephone via credit card and receiving cheques via regular mail, all of which require a receipt sent to the applicant.
  • Track trends in requests from the public, media, other public bodies and law firms and alert the Senior Disclosure Analyst or Director, Access & Privacy.
  • Perform general administrative duties including maintaining the virtual filing system, the creation and maintenance of all the office templates used (MS Word, Excel, and Outlook templates).
  • Update and prepare records for disclosure, including picking up and dropping off items at various areas of the Service, preparing records for destruction as per the Records Management records retentions schedule.
  • Provide legal administration such as updating Acts, legal manuals, transcribing documents, assembling briefs, swearing affidavits, assembling other quasi-judicial reports or correspondence needed to respond to Court Orders, Fatality Inquiries, OIPC Inquiries and OIPC Judicial Reviews
Qualifications
  • A Diploma equivalent to 2 years of full-time study (e.g. Administrative Assistant or Legal Assistant Diploma) plus minimum of 3 years’ of directly related experience.
  • IAPP Certification would be considered an asset.
  • Must be able to obtain Commissioner of Oaths or Notary Public appointment.
  • Excellent communication skills, efficiency and thoroughness, focus on results, relationship building, service orientation, stress tolerance, team building and teamwork.

work week with 1 day off in a 3 week cycle.
