POSITION SUMMARY:

Reporting to the Manager of Human Resources, the Human Resources Coordinator is responsible for providing a full spectrum of Human Resources support and services, with a high degree of confidentiality. The incumbent will work collaboratively with the HR team to carry out HR projects and initiatives in support of the operations of the business and in compliance with applicable legislation and the collective agreement.

RESPONSIBILITIES:

Full Cycle Recruitment:

  • Provide HR services and support in the full-cycle recruitment process, for bargaining and non-bargaining positions.
  • Initiate, prepare and post all internal/external vacancies using various job boards, ensuring adequate candidate pools and sourcing strategies/sites.
  • Maintain and sort the IHSA Career email, including screening of applications based on job requirements.
  • Conduct preliminary phone interviews and participate in face-to-face interviews as assigned.
  • Coordinate the reference and background process with the applicant and the third party vendor.
  • Prepare offer letters and related correspondence (offer letters, promotions, role transitions).
  • Schedule and actively participate in job fairs/campus recruitment events.
  • Assist in the development, coordination and tracking of any and all preliminary/pre-testing of candidates and interview guides/evaluations.
  • Liaise with search and advertising agencies for recruitment initiatives, as required.
  • Initiate and complete all the required documents and preparation prior to hire date to ensure all the appropriate steps are in place for the onboarding/orientation process of new hires.
  • Coordinate and conduct the orientation sessions for all new hires and contract employees.
  • Ensure all of the HR responsibilities associated with the onboarding and orientation process are completed accurately and on time, including coordination of executive introductions, finance/health and safety orientations, IT set up, and submission of required information for payroll/benefits/pension purposes.
  • Develop and implement tracking/measurement tools related to full-cycle recruitment, including tracking of recruitment metrics, onboarding booklets, and soliciting manager/new hire feedback on the onboarding/orientation process.
  • Administer the new hire probation process or trial period in accordance with established policies and/or collective agreement provisions.

Human Resources Administration and Support:

  • Address internal and external HR related inquires, including employee questions, concerns in confidence, and provide support to employees and departmental managers as required.
  • Respond and advise employees and managers’ inquiries regarding policies, procedures, benefits and collective agreement application in a timely manner.
  • Maintain employee personnel files; keeping files and records regularly updated/current.
  • Assist with performance management process, including coordination and tracking of all 90-day plans and annual performance appraisal process, and provide advice/support to managers throughout the process.
  • Provide department support in ensuring adherence to collective agreement requirements and established practices, including the development, maintenance and distribution of required reports (quarterly retiree/membership reports etc.) and documents (organization chart, seniority listing, etc.).
  • Ensure accurate and timely processing of department responsibilities as required by the collective agreement, such as salary changes and tracking of disciplinary records.
  • Liaise with the Finance department to develop the annual renewal of car allowance agreements.
  • Administration of the employee termination process, ensuring exit requirements are executed, including coordination of exit interview, collection of company equipment, credit cards, building and system access.
  • Maintain the Human Resources section of company intranet, ensuring accurate and updated information for employee profiles, and HR documents, forms, and resources.
  • Provide support and assistance to the Manager, Human Resources in labour relations, including collective bargaining, grievances, and investigations as required.
  • Process department invoices for payment, on time and accurately.
  • Coordinate, participate in, and assist with the planning of Company special events.
  • Provide administrative support and complete other management reports as required.
  • Provide back-up to the Payroll and Benefits Associate, to cover off on vacation and/or absences, as required.
  • Provide back up to WSIB claims management, as required.
  • Provide back up to the short and long term disability claims management in the event that the HR Administrator is absent.
  • Provide back up to the HR Administrator, to cover off on vacation and/or absences as required.
  • Assist with additional ad hoc projects as assigned.

QUALIFICATIONS:

  • Post-secondary education completion at a college level or equivalent, in Human Resources or related field.
  • HR accreditation (CHRP) or working toward (CHRP) designation.
  • 1 – 3 years of relevant HR experience, preferably in a unionized environment.
  • Intermediate to advanced proficiency in various computer applications including MS Office products.
  • Highly organized, intuitive and able to balance multiple priorities while maintaining a high degree of professionalism, confidentiality and strong attention to detail.
  • Critical analytical/problem solving skills to identify and resolve issues quickly and independently.
  • Excellent judgement in dealing with highly confidential matters.
  • Excellent written and verbal communication skills with the ability to effectively communicate with individuals at all levels within and outside the organization.
  • Knowledge of IHSA health and safety industry/network.
