Job Description:

This position is responsible for providing critical, high level administrative support to the Senior Associate Dean for Diversity, Equity and Inclusion in a fast paced and ever-changing environment. Manage the Senior Associate Dean’s complex calendar and scheduling, coordinate meeting preparations and travel arrangements, create PowerPoint presentations, edit and write correspondence, participate with special projects, answer and place phone calls as needed. Timely ongoing management of the electronic and paper file system. Proactively and perceptively organize the Senior Associate Dean’s schedule and calendar often involving highly sensitive/confidential matters. Serves as the first point of contact for the Senior Associate Dean. Also processes and tracks financial transactions, including account reconciliations, check requests, interdepartmental invoices, professional service agreements, and expense reports.

Additionally, this position is a collaborative member of the Senior Associate Dean’s administrative support team and will lend assistance and coverage as needed.

Job Qualifications

Education and Experience
  • Bachelor’s degree plus 1-2 years’ experience or Associates Degree plus 3 years’ experience
  • Senior level executive administrative support experience preferred.
  • Experience in a university setting preferred.
  • Experience in working with a diverse community and supporting an inclusive environment.
  • Or, equivalent combination of education and experience.

Job Competencies
  • This position requires tact, composure and flexibility while always maintaining strictest confidentiality and professionalism. Issues are often sensitive in nature. Requires independent good judgment and meticulous follow through in a fast-paced environment.
  • Excellent computer skills, including fluency with Microsoft Office suite and Google Workspace.
  • Proficiency with Zoom, WebEx, and other virtual video conference platforms.
  • Highly effective oral and written communication skills with the ability to effectively deal with a diverse population
  • Ability to maintain the strictest confidentiality
  • Basic math skills to prepare/assist in preparing budgets and other financial documents. Intermediate bookkeeping experience preferred.
  • Excellent planning, management and organizational skills.
  • Analytical skills
  • Initiative and judgment to independently problem solve and prioritize.
  • Ability to work independently but also be a strong team player when the situation warrants.
  • Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
