FOOD INDUSTRY COMPANY LOOKING FOR AN EXECUTIVE ADMINSTRATOR/OFFICE MANAGER

We are a busy B2B Food Production company currently looking for an EXECUTIVE ADMINSTRATOR/OFFICE MANAGERto join our growing team based in Mississauga, Ontario. In this position the candidate will act as the support person for company executives. They will help with various administrative and organizational needs, such as setting up appointments and overseeing schedules. Acting as a gatekeeper, an Executive Assistant will help to decide which phone calls, emails, or in-person meetings get through to their boss. They will also conduct business with other colleagues or external vendors on behalf of their executive.

Duties and Responsibilities – Executive Administrator:

  • Oversees all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence
  • Files important documents, such as reports, meeting notes, emails, and letters
  • Keeps the executive’s calendar up-to-date, including adding events, rescheduling appointments and providing daily briefings
  • Acts as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customers
  • Conducts research on various topics based on the needs of the executive
  • Plans and organizes events that take place externally, such as fundraisers, sporting tournaments, and appreciation events
  • Keeps important information and documents organized physically, and electronically
  • Maintains a high degree of discretion and confidentiality
  • Manages calendar and time and coordinates internal meetings, including off-site events
  • Coordinates meetings with the Supply Chain/Distribution & Logistics community
  • Assists with timesheets for the team and manages invoicing
  • Reviews and summarizes miscellaneous reports and documents; prepares background documents as necessary
  • Arranges travel and accommodation
  • Composes and types correspondence
  • Completion of power point presentations and creation of excel spreadsheets
  • Any additional duties as required by the team

Duties and Responsibilities – Office Manager:

  • Ensure morning employee temperature checks
  • Ensure all guests complete COVID paperwork
  • Ensure office boardroom is stocked with water, milk, cream and sugar
  • Answer and direct incoming calls
  • Ordering of all office supplies
  • Assists with coordinating vacation schedules and personal days for the team
  • Controls Boardroom booking and calendar
  • Any additional duties as required by the team

Qualifications

Education and Work Experience:

  • Post - Secondary education (Certificate/Diploma/Degree)
  • Three (3) years’ work experience in an office environment as an Executive Assistant would be an asset
  • Culinary/Food Service experience would be an asset

Skills and Knowledge:

  • Strong knowledge with Microsoft Office Suite; Advanced skills using Excel and Word, advanced skills using PowerPoint
  • Ability to adapt and be flexible to unexpected circumstances, peak periods and changing priorities
  • Excellent verbal and written communication
  • Exceptional attention to detail
  • Ability to conduct research and create reports or presentations
  • Time management
  • Ability to learn quickly
  • Ability to handle sensitive information with discretion
  • Intermediate computer and office equipment skills
  • Ability to work in a fast-paced environment
