Xtreme Hospitality is a buying group that centres itself in the dynamic and exciting industry of hospitality. We work with bars, restaurants, golf courses and family entertainment centres to help solve problems and drive their businesses to success. We partner with major vendors in the food and beverage space to create marketing packages, presentations and offerings that wow our clients and build their loyalty for years to come. Our role in the industry revolves around marketing, consulting, connecting, communicating and developing expertise so that we become indispensable to our clients and our partners.

We are seeking an experienced administrator to take on the role of Business Development Coordinator, and to maintain, develop and execute the operational processes that have allowed us to rise above the competition. We are a small, yet complex and growing business, and we need someone who can look ahead at what the organization will need and put systems in place to keep us extremely organized. This role will also involve collaborating with key contacts at our partner organizations, and working with our internal finance, marketing and office management teams to keep all projects and initiatives moving forward. We receive and share a lot of client-specific data, so comfort with CRM software and advance Excel formulas are a must.

This is a work from home opportunity.

Responsibilities

  • Collaborate with external and internal stakeholders to maintain systems and processes, and to support the business’ projects and initiatives
  • Continually improve our database layouts and reporting processes
  • Execute day-to-day XH functions, including expense tracking, maintaining our file directory, managing (minimal) inventory, and periodic financial reconciliations
  • Analyze, organize, reconcile and share performance data to clients from their vendor reports
  • Execute onboarding processes for new clients who join Xtreme Hospitality
  • Communicate ideas and initiatives to clients in marketing e-blasts
  • Maintain client information and contact history in Zoho CRM software
  • Assist in scheduling meetings and phone calls between clients, leads, vendors and XH staff

Skills/Requirements

  • Understanding of the Bar & Restaurant world
  • Three or more years of administration experience
  • CRM background - ZOHO
  • Strong knowledge of Excel
  • Exceptional customer service
  • Creative problem-solving
  • Initiative
  • Excellent verbal and written communication skills
  • Strong organizational skills and the ability to multi-task and prioritize
  • Experience with process development and documentation
  • Ability to collaborate with external contacts and internal, cross-functional team
  • Extensive designing and modifying database layout with Zoho, CRM, or other CRM/database software
  • Ability to work from home; must have access to a distraction-free workspace
  • Valid driver’s license required
