Overview / Responsibilities:

Wood has an immediate opening in our growing team for an Administrative Services Coordinator at our Renewable Energy & Process office in Grande Prairie, Alberta. This thriving northern community is the hub for northern Alberta and British Columbia, stretching all the way into the Northwest Territories. With Forestry, Oil & Gas and Agriculture, the ‘Peace’ region also provides diverse challenges across a variety of industries and projects.

Our office primarily delivers small-cap and mid-cap maintenance or retrofit projects to the Peace regions industrial customers. Reporting to the Manager of Operations, this role contributes support in the successful execution and delivery of these projects, as well as to maintaining facilities and activities that include record-keeping, mail distribution, as well as direct a broad range of services that allows the office to operate efficiently. Key Responsibilities

  • Support the projects teams with report writing, proposal support, record keeping and travel coordination
  • Participating in office planning and the development of corporate goals, strategic plans, and objectives
  • Assist in the development of proposals and estimates
  • Ensuring that all electronic data and files (project or organization) are properly located and archived
  • Reviewing project-related documents to ensure compliance and format guidelines
  • Support the Operations Manager in business development and marketing initiatives
  • Maintaining sufficient inventory of supplies
  • Monitor the office to ensure that it remains safe, secure, and well maintained
  • Recommend changes to office workflows in order to improve operation
Skills / Qualifications:
  • Bachelor’s degree and 10 plus years of experience (or) completed College education and 15 plus years experience.
  • Fluency in MS Office Word and Excel; proficiency in remaining 365 suite
  • Typing speed of 50+ wpm
  • Excellent English oral, written and presentation skills for communication with internal team, stakeholders and clients
  • Good planning, organizational, analytical and problem-solving skills
  • Experience in a large industrial organization or engineering consulting office would be a benefit but is not a requirement
  • Infrequently the successful candidate may be asked to attend meetings at heavy industrial sites
