Administrative Assistant

We are currently seeking an Administrative Assistant to join our team in Saint John, N.B.

Autism Intervention Services (AIS) was founded by Danielle Pelletier in 2005, to provide preschool aged children with autism spectrum disorder and their families with high quality, evidence-based services. At AIS, our programs are dedicated to providing quality intervention and making every teaching moment count. As a result of our programs’ success, we have gained our government’s confidence in our contracted services and currently serve over 500 families across the province of New Brunswick.

Position Summary:

The administrative assistant’s role is to assist the Regional Director in managing process, monitoring outcomes, and related projects for our preschool autism program. This role also includes secondary duties of back up for the office manager, including phone & reception duties in order to keep the office running smoothly. The administrative assistant position is Monday – Friday, from the hours of 9-5.

Accountabilities include, but not limited to:

· Administrative support to the Regional Director

o Pull & prepare reports from Practice Perfect and other software (e.g. Excel) for analysis

o Assist in development and implementation of processes (e.g. intake, scheduling, school transitions). Identifies areas for improvement.

o Assist in development of presentations, written materials

o Coordination of information, serving as a central hub for supervisors (e.g. cubby applications, accurate records of staff scheduling)

o Assisting in caseload planning, staffing projections and accurate record maintenance

o Assisting in special projects related to outcomes, quality practices, capacity building and partnership development.

o Assists in communications related to employee social media, such as Facebook.

o Assists with other tasks related to employee engagement

· Coordination with office manager to ensure smooth communication & systems

· Coverage for office manager duties (over lunch, end of day, vacation, etc.)

o Phone & reception duties

o Coordinating facility cleaning & maintenance as needed

o Assigning tasks to staff with cancellations

o Recording of cancellations using Practice Perfect

o General data entry and record maintenance

· Following the company’s policies and procedures; living our core values

· Communicating respectfully with parents/guardians, community partners and colleagues

· Being receptive to feedback and implementing suggestions

Qualifications and Requirements:

The ideal candidate will:

· Post-secondary education preferred with an administrative experience

· High level of professionalism and confidentiality

· Strong knowledge and experience with Microsoft Office and Excel

· Experience with Practice Perfect and ADP is desirable

· Excellent oral and written communication skills

· Strong attention to detail and organizational skills

· Ability to take initiative and work independently

· Have an interest in children with autism spectrum disorder and a desire to learn and understand more about what we do

· Be willing to complete a criminal record check, vulnerable sector check and Social Development prior contact check within the past five years

· Be willing to complete a Workplace First Aid Course

· Valid Driver’s license and access to a vehicle as travel may occasionally be required

· Bilingualism (French and English) is an asset

· Experience in a fast paced office environment
