OPPORTUNITY

MacEwan University is seeking a full-time continuing Administrative and Projects Coordinator in the Office of the Associate Vice-President, Students (AVPS). You will provide senior-level organizational and administrative support to the Office of the AVPS, and perform a broad range of planning and coordinating activities, including compiling information, managing communications, and coordinating with various campus offices that also support students. Your responsibilities will include, but are not limited to:

* Facilitating overall processes and communications for the Office of the AVPS by providing centralized coordination and oversight of related activities

* Acting as the primary contact for the Office of the AVPS, serving as a frontline resource and contact person for questions, comments, or concerns regarding the office and its projects/activities

* Maintaining and managing complex schedules and priorities for the AVPS; referring requests to the Associate Dean and other senior staff within the portfolio, as appropriate

* Coordinating events and meetings (including committees and working groups), which involves compiling and circulating agendas, preparing event/meeting materials, recording/distributing minutes, and following up on action items

* Supporting efficient and effective project administration and implementation, which includes planning, organizing, and coordinating project activities and deliverables, information, and meetings in support of various strategic initiatives

* Liaising with stakeholders within the AVPS portfolio, across the University, and/or with external organizations/agencies to coordinate workflow. Serving as an initial contact for questions, comments, or concerns. Researching or synthesizing answers to resolve issues, where possible, and answering questions as they arise; redirecting complex problems to the appropriate senior staff
SKILLS

The successful incumbent will possess:

* Strong organization, time management and prioritization, with the ability to plan/coordinate multiple work initiatives effectively and within set timelines and prioritize the AVPS’ time demands with a high degree of independence.

* Superior interpersonal skills to effectively work with, and build, collaborative relationships with a diverse group of people, both internal and external to the University.

* Resourcefulness, with the ability to use networks to gather information/data to prepare briefs and summaries as required.

* Excellent written and verbal communication skills.

* Strong problem solving, discretion, judgment, and tact with an understanding of the acute sensitivity to the political environment and reputation of the AVPS Office and MacEwan and a sense of when to involve others in decision-making.

* The capability of maintaining strict confidentiality with an ability to recognize and handle confidential information in an appropriate manner.

* Service-oriented quality and capability of dealing with a wide variety of constituents professionally and respectfully.

* The ability to remain calm and professional in challenging, fast-paced circumstances.

* High level of attention to detail and accuracy.

* Advanced administrative skills, including technology for information consolidation/distribution/reporting and data analysis.

* The ability to maintain a calm demeanor, focus, and high level of work performance in a multi-tasking, highly intensive office environment with competing demands and frequent interruptions.

* The ability to self-motivate and take independent initiative, with the ability to work within a team environment and with minimal supervision.
QUALIFICATIONS

* An undergraduate diploma or degree preferably in administration, communications, project management, or a related field.

* Minimum of three years of progressively responsible and diversified administrative experience.

* Direct experience in a post-secondary or related public sector environment is preferred.

* Demonstrated experience in a fast-paced, dynamic work environment, effectively managing the schedule, correspondence, and priorities for a senior-level position within an environment with continuously shifting priorities and deadlines.

* Knowledge of senior-level practices and the ability to anticipate, and respond to, the needs of senior management

* Demonstrated commitment to fostering a collaborative working and learning environment that celebrates diversity and inclusion

* Knowledge of the university structure, procedures, policies, regulations, and applicable collective agreements is preferred.

* Consideration will be given to an equivalent combination of education and experience.
