This role is temporary for 12 months with a possibility of becoming permanent.

Job Overview

Reporting to the Director, Lease Documentation, as the Commercial Leasing Administrator you will provide support to the Commercial Leasing department. You also support teams or individuals and handle a variety of Administrative and clerical tasks related to commercial leasing.

Your day-to-day responsibilities will include:

  • Preparing leasing document execution packages, and drafting lease documents including offers to lease, waiver letters, lease amendments etc. and any other required documentation based upon standard form templates and distributing documents to appropriate departments.
  • Setting up and maintaining trackers and/or reports, updating and maintaining file management.
  • Processing documents and invoices, including broker commissions and search invoices etc.
  • Performing list management including; exclusive or restrictive, pylon signage, addressing, legal descriptions, listing agreements and dead file listing.
  • Working with Marketing team to ensure materials (i.e. site plans) are up-to-date and accurate.
  • Collaborating with Legal team to request appropriate searches, and performing credit checks.
  • Providing administrative support to Leasing team as required.

Essential Requirements:

  • High School Diploma, or equivalent.
  • Minimum 1 year of experience in commercial real estate, leasing, property management or legal experience in Commercial Real Estate is required.
  • Proof of COVID-19 vaccination.
  • Satisfactory verification of criminal record check.
  • Comfortable using office equipment, Microsoft Office programs (Outlook, Word, Excel, Teams, PowerPoint, SharePoint).

Preferred Requirements

  • Real estate license is an asset.
  • Diploma in business or related coursework in real estate administration is an asset.
  • Experience working with various software programs (i.e., Newstar, Yardi and HubSpot) is considered an asset.

Work Conditions

You primarily work in an office setting during regular business hours. Overtime may occasionally be required.
