Your Opportunity:

The Administrative Support IV is a working level position with a moderate amount of relevant work experience that supports the Manager of the Intensive/Cardiac Care Unit at Chinook Regional Hospital. Working under limited guidance and direction the Administrative Support IV utilizes developed skills to carry out a diverse set of activities. Staff Scheduling and Payroll. In collaboration with Provincial Staffing Services (PSS) and the Manager, ensures that employees are scheduled appropriately and employee pay data is captured in accordance with AHS policies and collective agreement provisions. Maintains staffing schedules as directed, anticipating staffing needs and informing the manager as required. Completes timekeeping/payroll data entry and follows up on discrepancies. Assists the manager with vacation scheduling/management. Operational Support. Responds to inquires related to basic operational & scheduling procedures. Provides administrative support for human resource functions as directed by the manager. Information Management and Reporting. Reviews data for quality assurance standards and follows up to resolve errors. Generates reports, prepares information, creates documents and correspondence. Follows up, as necessary, to obtain outstanding documents, reports or information for files. Organizes, validates, and inputs data in information systems as requested by the Manager. Maintains an up-to-date staff and telephone listing. Schedules a variety of department meetings. Completes documentation related to financial activities when requested. Verifies and follows up on inventory and equipment requests.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Minimum 1 year scheduling experience. 2 to 3 years of administrative support or clerical experience in a healthcare setting. Exceptional skills in communication organization, attention to detail, and handling of confidential information. Ability to work independently and collaboratively while completing complex and often urgent staff scheduling tasks within short timelines. Demonstrated proficiency in Microsoft Outlook, Word, Excel, and Teams.

Preferred Qualifications:

Timekeeping/payroll experience. Experience with AHS scheduling software (Kronos, ESP).
