Software International (SI) supplies technical talent to various Fortune 100/500/1000 companies in Canada/US.

One of our client in the Accounting and Tax Services industry will be opening an office in Burlington and is looking to add a Administrative Personal Assistantto their team.

This role will start off remote, but once the office is fully set up and furnished, the role will move to onsite.

Position: Administrative Personal Assistant

Salary: $60,000 - $70,000 + 2 weeks paid vacation and 6 sick days

Position summary

The Administrative & Personal Assistant role entails providing executive-level administrative

support and handling confidential matters for the Owner. Initially, this position will be remote,

transitioning to an onsite role at our office in Burlington. Your duties will be split

approximately 70% for business-related tasks and 30% for personal matters. We’re looking for an

ideal candidate with a strong background in office operations, quick thinking abilities, a sociable

demeanor, adaptability to changing priorities, the capacity to thrive in a fast-paced environment,

and a willingness to contribute to team objectives.

Responsibilities:

• Proactively oversee and organize the Owner’s schedule, coordinating meetings, conference calls,

and appointments with both internal team members and external clients/vendors to optimize time

management.

• Efficiently arrange and manage various meetings, events, seminars, and conferences, ensuring all

necessary materials and catering arrangements are in place.

• Expect to handle numerous personal errands as part of this role.

• Provide comprehensive administrative support to the Owner.

• Handle sensitive and confidential data.

• Facilitate communication with clients and other external parties as needed.

• Take charge of special organizational and research projects as instructed.

• Regularly reconcile the Owner’s credit card expenses and banking statements.

• Undertake additional responsibilities as necessary, displaying personal initiative.

• Manage the scheduling of appointments, meetings, and travel plans for the Owner, staff, and

guests.

• Running errands with your own vehicle.

• Prepare various reports and written materials.

• Handle correspondence, including tasks such as photocopying, faxing, mailing, delivery, and

filing.

• Fulfill other general administrative duties as required.

Required Skills and Qualifications:

• A minimum of 5 years of prior experience in administrative and personal administration,

supporting Senior Executives.

• Vehicle with valid “G” license.

• Demonstrated capability to consistently deliver high-quality work even under tight

deadlines.

• Exceptionally organized and detail oriented.

• Accustomed to working in a dynamic, fast-paced work environment with frequently

changing priorities.

• Proactive, efficient, and unwaveringly committed to maintaining a high level of

confidentiality.

• Proven track record of effective teamwork and providing outstanding customer service to both

internal and external stakeholders.

• Proficiency in both written and spoken English is essential.

• Proficient in MS Word and Excel (advanced level) for data manipulation.

• Experience with MAC computers a bonus.

• A college or university degree is required.

• Flexibility to work outside regular hours, including weekends, when the Owner is traveling or in

emergencies.
