We are seeking a dynamic Administrative and Marketing Specialist to join our team. In this multifaceted role, you will play a pivotal part in both the administrative operations and marketing efforts of our company. From looking after customers, to office tasks to implementing marketing strategies, you’ll be at the heart of our business, ensuring smooth operations and driving brand visibility.

Customer Support and Relationship Management:

  • Complete sales activities such as order taking & fulfillment, pulling orders, calling clients, etc. as required.
  • Educate clients on technical aspects of LED lighting. Help clients with lighting layouts and designs.
  • Provide excellent customer service by responding to inquiries, resolving issues, and addressing customer needs quickly, efficiently, and completely.
  • Maintain customer databases and ensure accurate and up-to-date records.
  • Assist in developing customer retention strategies and fostering strong client relationships.
  • Complete customer outreach on a regular basis, encouraging new, return, and repeat business relationships.

Administrative Support:

  • Efficiently manage office operations including answering phones, assisting walk-in customers, and maintaining filing and paperwork.
  • Updating and maintaining accurate records in the accounting and CRM systems.
  • Assist with inventory management and procurement tasks as needed.
  • Basic accounting functions such as invoicing and data entry
  • Maintain a clean and organized office environment to enhance productivity.

Website Maintenance:

  • Manage, maintain and update our Shopify websites. Monitor, client portal registrations and fulfill orders.
  • Ensure orders are shipped out promptly and orders are marked as shipped with tracking information.
  • Upload new products, updated inventory levels and price tiers as needed.
  • Create excitement and engagement with updated banners, promotions, and other marketing techniques.
  • Maintain theme or story throughout all platforms (website, social media, blogs, letter mail marketing, etc.)

Marketing Coordination:

  • Collaborate with team members to develop and execute marketing plans and campaigns, for both print and digital platforms.
  • Create engaging content for social media platforms, blogs, newsletters, and promotional materials.
  • Conduct market research and analysis to identify trends, opportunities, and competitor strategies.
  • Support the organization of events, trade shows, and other marketing activities.
  • Monitor and track marketing performance metrics and generate reports for analysis.

Who we are looking for:

  • Bachelor’s degree in Business Administration, Marketing, or related field.
  • Previous experience in administrative support and/or marketing coordination is highly desirable.
  • Retail experience or experience in a customer-facing role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software.
  • knowledge of Shopify back-end and HTML preferred. Competent working with Photoshop, Canva, Mailchimp, and similar programs.
  • Self-motivated and able to manage changing priorities.
  • Excellent communication skills, both written and verbal, with a keen attention to detail.
  • Strong organizational and time management abilities, with the ability to prioritize tasks effectively.
  • Creative thinking and problem-solving skills, with a proactive and results-oriented mindset.
  • Ability to work independently as well as collaboratively in a fast-paced, team environment.
  • A genuine, trustworthy person that will contribute to the work environment in a positive way.

Experience:

· 2 years experience as a supervisor in a retail sales and or marketing organization, Contractor or wholesale supplier.

· Lighting experience is an asset.

· Access to a reliable vehicle is required.

· Experience working in retail or wholesale trade is an asset.
