SUNBEAM DEVELOPMENTAL RESOURCE CENTRE

Permanent Full-time (37.5 hours per week)

Sunbeam Developmental Resource Centre is the single point of access to developmental services for children in the Region of Waterloo. SDRC (https://www.sdrc.ca) provides case management and clinical services to individuals with intellectual disabilities and/or Autism Spectrum Disorders. SDRC also assists them and their caregivers in connecting with community services and supports. SDRC’s services are available to children and adults with developmental disabilities in Waterloo Region.

We are presently inviting applications for the position of Administrative Coordinator as part of our Admin Team. The successful candidate will be required to work Monday – Friday; with some flexibility required. The successful candidate will be based out of our Kitchener location.

Reporting to the Manager, Program Services, this position will be responsible for coordinating administrative duties amongst the Admin team. It will also include responsibilities for overseeing the agency’s information and administrative functions (e.g., reception, clinical records, and information/resource). It also includes oversight of agency functions such as office moves, security, building maintenance, etc. the key functions include:

  • To coordinate purchase of equipment, furniture and office supplies.
  • To maintain key/access management software and key registries.
  • To oversee forms management (development, editing, proofing for both SDRC and DSO).
  • To oversee and coordinate management and maintenance of agency office equipment.
  • To coordinate the agency’s property management needs on an ongoing basis.
  • To coordinate with MIS regarding computer/Network issues in addition to attending Automated Task Force meetings.
  • To oversee maintenance of the agency’s record-keeping systems.
  • To coordinate the publication of agency materials, business cards, brochures and resources for SDRC and DSO;
  • To coordinate financial requirements of the agency including invoicing, and financial requests.
  • To participate in the interviewing and hiring of administrative personnel.
  • To coordinate with the Joint Health and Safety Committee and Sunbeam Community and Developmental Services (SCDS)to address health and safety issues and concerns;
  • To attend team/committee meetings to ensure coordination of administrative functions for both SDRC and DSO;
  • To ensure maintenance of supply inventories.
  • To assist with new employee orientation.
  • To manage social committee funds
  • To represent the agency in a manner that is congruent with the values of Sunbeam Centre;
  • And to undertake other assigned duties, as required.

Qualifications:

  • College diploma in related field (Health Care Administration, Medical Office Practices or Administrative Business Management Certificate)
  • Highly detail oriented and organized.
  • Experience serving individuals with a variety of needs.
  • Ability to work independently and as part of a multi-disciplinary team.
  • Understanding the nature of work organizations.
  • The ability to prioritize and schedule competing tasks and priorities throughout the day.
  • Ability to use computers and technological resources, including high degree of skill in using all Microsoft Office applications (Word, Excel, PowerPoint, Outlook) as well as Canva Pro.
  • Ability to coordinate and oversee work performed by others in a manner that ensures efficient operation of administrative functions.
  • Experience in working in an Electronic Client Records, such as EMHware, an asset.
  • Ability to understand the needs of people who have an Intellectual Disability/Autism Spectrum Disorder and their families/caregivers, other agency requirements, changing political and social trends, legal structures, the rights of individuals, and community attitudes as they relate to maintaining optimal delivery of programs and other services.
  • Familiarity with consent-related federal and provincial legislation, directive and guidelines, corporation by-laws, policies and procedures.
  • Above average ability to communicate effectively, both orally and in written form, with clients, their caregivers/families, coworkers, and community professionals; and the skills necessary to maintain harmonious working relationships with others in a multi-disciplinary agency.
  • Possession of a valid vehicle operator’s license and clean driving record.
  • Certification in NVCI and First Aid/CPR as asset.
