EasyInsure, a rapidly growing national brokerage, is looking an Administrative Assistant to join the head office team in Windsor, Ontario which provides a great working environment and excellent opportunity to grow within the organization.The RoleThe Administrative Assistant performs a variety of administrative tasks to support clients, manager, and Brokers/Advisors. The ideal candidate possesses excellent communication and organization skills with the ability to deliver a high level of customer service.Responsibilities
  • Handle all incoming calls and route life, health, group and wealth calls to appropriate team member
  • Obtain client information and email appropriate person, and note call in the client’s file when required
  • Call clients to book annual reviews, KYC updates and group renewal meetings
  • Monitor, manage and organize manager and broker emails, create folders for each client and route incoming emails to client folders for easy access
  • Monitor incoming webinars and schedule relevant sessions in manager and brokers/advisor’s calendar
  • Schedule client meetings when required/requested and send reminders to clients
  • Sort and route incoming general emails in support inboxes
  • Collaborate with manager to organize all compliance procedures in accordance with FSRA and ensure documents and manuals are up to date
  • Ensure all personal and corporate licenses and error and omissions coverage is current and up to date
  • Review client files and report all outstanding requirements in applicable systems
  • Maintain department CE credit history for each broker/advisor
  • Ensure all files have updated client information
  • Review and assignment of online orders and leads to appropriate broker/advisor
  • Receive and distribute mail and courier for the life, health and wealth department
  • Prepare and send mail and courier for all life, health and wealth policies or documents. Document file and notify broker/advisor
  • Scan incoming documents, update system, and file appropriately in broker management system
  • Download incoming documents, update system, and file appropriately in broker management system
  • Collect, sort, and route incoming faxes
  • Participate in professional development courses each quarter
  • Complete other duties as assigned
Skills And Requirements
  • High school diploma or equivalent
  • Post-secondary education an asset
  • Mutual Funds license an asset and must be willing to obtain within first year of employment
  • Strong communication skills both written and verbal
  • Strong customer service experience and multitasking skills
  • Professional and collaborative team player
  • Strong MS Office skills (Word, Excel and Outlook)
  • Strong organization and analytical skills
  • Ability to work independently
