Bradner Cold Storage is looking for an Admin / Executive Assistant. Admin / Executive Assistant Responsibilities:

Administrative – 50%

o Office management; ordering office supplies

  • Organizing, updating, and filing confidential files
  • Drawing up purchase orders and arranging for payment of invoices for materials and/or services

o Developing and maintaining an efficient filing system

o Supporting with ad-hoc projects

o Provide confidential administrative support

o Creation and maintenance of critical business documentation

Executive Assistant – 30%

  • Managing and coordinating schedules
  • Coordinate online, in-person events and meetings
  • Agenda management for meetings including minutes and follow-up
  • Planning and booking business travel or corporate events
  • Drawing up and comprehensively managing expense accounts
  • Managing logistics for both internal and outside meetings: booking conference rooms, ordering meals, printing documents, providing lists of attendees, getting rooms ready, etc.

o Ensuring the proper management and approval of individual and corporate expenses, and creating budget reports as required

Project Coordination – 20%

o Responsible for ensuring all projects have detailed progress tracking

o Deal with external vendors including, receiving quotes for repairs and maintenance and coordination of repairs and maintenance

o Create Project Budget, create CAPEX request forms for signature by management and submission to finance department,

o Coordination with external vendors or contractors of project needs, tracking project expenses, and follow up with management to ensure project completed.

Requirements:

A minimum of three years of experience within a professional industry
Highly organized and detailed orientated
Superior communication skills both written and verbal
Motivated, passionate with a professional work ethic
Someone who is driven, humble and enjoys learning

Some flexibility around availability outside of normal business hours is occasionally required

Some travel between our warehouse locations will be required
