Legal Assistant Real Estate or Clerk/Administrator, ConstructionRoleThe Office and Project Clerk/Administrator will be responsible for coordinating and providing comprehensive administrative support to the management team ensure the smooth running of our development project, working in-office and occasionally on site.Key Responsibilities
  • Assist with managing, monitoring and maintaining the proposal database, files, keeping accurate records;
  • Collect quotes from various trades/suppliers.
  • Support purchasing, site personnel, and sales as needed.
  • Compiling and/or verifying information for accuracy and quality assurance;
  • Duties include but are not limited to word processing, creating and updating spreadsheets and database files, and contract files.
  • Understand the contractor’s obligations and responsibilities under the contract;
  • Issuing and distributing Purchase Orders and Change Orders.
  • Coordinating and maintaining current records of drawings and consultant revision notices.
  • Manage and maintain correspondence, daily logs, project files and records.
  • Organizing office, setting up binders and folders.
  • Responsible for keeping track and distributing of Consultant Field Reviews, Site Instructions, Construction Schedule, and Construction Progress.
  • Answering telephones and assisting in communications with the large group of contractors and consultants.
  • Assisting management staff with numerous clerical duties.
  • Understand WSIB, and Health and Safety administration, Insurance requirements and coordinating training.
  • Maintaining and organizing files for all purchasers’ suite upgrades and colour choices.
  • Printing and distributing Deficiencies for Trades to complete.
  • Responsible for follow up and completion of Deficiencies.
Required Skills, Knowledge, Qualifications And Experience
  • Candidate must have approximately two (2) years experience in office administration or professional support role;
  • Must possess sound judgement; strong organizational, administrative, attention to detail, observational and problem-solving skills;
  • Ability to communicate with other professionals and to follow up with them to obtain the required information;
